How to Extract Data from a PDF Invoice into Excel

Invoices arrive as PDFs, and your books need them as data. Copying vendor names, line items, tax, and totals by hand is slow and error-prone — especially at volume. Here's how to extract invoice data into Excel properly.

Why invoices are harder than they look

Every supplier formats invoices differently — the total is top-right on one, bottom-left on another; line items are a neat table on one, a loose list on the next. Template-based tools break the moment a new layout shows up. That's why manual entry has survived this long.

Method 1: Copy-paste (don't)

Selecting text in a PDF and pasting into Excel rarely preserves the table — columns collapse, numbers merge with text. For scanned invoices it doesn't work at all. Fine for one invoice; painful for a pile.

Method 2: Excel's PDF import

Data → Get Data → From PDF can pull a clean, digital invoice's table. But it has no idea what an 'invoice' is — it just grabs tables — so you'll still hand-pick the total, the tax, and the date, and it won't touch a scan or photo.
